How to use the time card calculator

  1. Enter your clock-in and clock-out times for each day you worked. Select AM or PM for each time.
  2. Enter the total unpaid break in minutes. Leave days off empty.
  3. Read each day's hours and your weekly total. Results update as you enter your times.

How work hours are calculated

Each day's worked time is the time between clock in and clock out, minus unpaid breaks. The weekly total adds those daily results without rounding them first.

If a day has an error, it is excluded and the result is labeled Valid days subtotal. Correct the entry to get a complete weekly total.

Worked time = shift duration - unpaid break

Deducting unpaid breaks

Enter only breaks that are unpaid, such as an unpaid lunch. If you took two 15-minute unpaid breaks, enter 30. Paid breaks remain part of your worked hours.

A break may equal the shift length, but it cannot exceed it.

Overnight shifts

If clock out is earlier than clock in, it is treated as the next day. A shift from 10:00 PM to 6:00 AM is 8 hours, or 7h 30m after a 30-minute unpaid break.

Understanding decimal hours

Decimal hours divide the total minutes by 60. For example, 30 minutes is 0.50 hours, so 8h 30m is 8.50 hours, not 8.30. Decimal results are rounded to two places for display. For a direct conversion, use the Decimal Hours Calculator.

A worked example

Clock in at 8:00 AM and clock out at 5:00 PM. That is a 9-hour shift. Subtract a 30-minute unpaid lunch and you worked 8h 30m, or 8.50 decimal hours.

Frequently asked questions

Does this calculator include overtime or pay?

It totals worked hours only. It does not apply overtime rules, pay rates, or payroll rounding. Use your employer's rules when preparing a time card for payroll.

What if clock in and clock out are the same?

Matching times with the same AM/PM selection count as zero hours. This calculator handles shifts shorter than 24 hours.

Can I enter more than one shift per day?

There is one row per day. For a split shift, enter the first start and final end, then include the unpaid gap in the break total. The full span must be shorter than 24 hours.

Are my times saved or sent anywhere?

Calculations happen in your browser. This calculator does not store or send your entries. Use Reset to clear the week.

Does it account for daylight saving time?

No. It uses clock times without dates or time zones. If a shift crosses a daylight saving change, adjust for the actual hour gained or lost separately.
